How we handle your early-access details

This page is only about the early-access list on this site. It is not about the RentalAgent application, which is not open yet.
What we ask for
Your name, your email address, your phone number and the language you want us to write in. Nothing else — there is no account, no password and no payment. Along with it we keep a few records of the request: when the form was sent, how many times the same email address was sent, which website the request came from and which version of this notice you were shown.
Why we ask for it
To write to you when RentalAgent opens in Warsaw, and to answer you if you write back. We do not use these details for anything else, and we do not sell or pass them to anyone for their own purposes.
Anti-abuse
To stop automated submissions we keep a one-way hash of the IP address a request came from. We do not store the address itself, and we do not use it to identify you.
What allows us to use it
We use your name, email address, phone number and language because you ask us to put you on the list and to tell you when we open. That is a step taken at your request before any agreement, which Article 6(1)(b) of Regulation (EU) 2016/679, the General Data Protection Regulation (GDPR), allows. The anti-abuse hash and the records of the request rest on our legitimate interest, under Article 6(1)(f) GDPR: protecting the form from automated abuse, and being able to show which notice you saw.
It is your choice
Giving your details is voluntary. Without your name, email address and language we cannot put you on the list; the phone number is optional.
A phone number is not a permission to call
Leaving a phone number here does not instruct the agent to call anyone, and it does not start a search, a call or a payment. When the application opens, every call is approved by you separately, and the agent always says it is an AI.
Where it is kept
On our own server in the European Union, in a database that is not part of the public website. Your details are never put into the files this website is built from and never reach the content network that serves the pages.
Who can see it
At RentalAgent, only the people running it, and only to write to you about the opening. Two kinds of companies also handle it, on our behalf and only on our instructions: the company that hosts our server in the European Union, and the email service we use to write to you.
How long we keep it
We keep your details and the records of the request until the early access is over and we have written to you, and at most 12 months after you left them — or until you ask us to delete them, whichever comes first. The anti-abuse hash goes sooner: we delete it 30 days after you left your details.
No automated decisions
We do not make automated decisions about you, and we do not build a profile of you. The anti-abuse check does work automatically: it can turn a request away, and you can then send it again later.
What you can ask for
You can ask us what we hold about you and for a copy of it, to correct it, to delete it, or to restrict its use, for example while we check whether it is accurate. You can also ask for the details you gave us in a common file format, to take them elsewhere. Write to the address below.
Your right to object
You can object at any time, on grounds relating to your particular situation, to our use of the anti-abuse hash and the records of the request, which rests on our legitimate interest. To do so, write to the same address.
